Your launch checklist

This is the complete list of steps to get your clinic app live. Work through them in order. The Clinic App team covers steps 1 to 5 with you during onboarding, but this checklist is yours to keep as a reference.

Note

Do not invite patients until steps 1 through 7 are complete. A half-configured app creates a poor first impression that is hard to recover from.

Content and configuration

Step 1: Confirm your treatment menu is complete and priced

Every service you want patients to be able to browse and book through the app needs to be in the Content page of your dashboard. Add the service name, a short description and the price. If a service has multiple price points (e.g. different areas), add each as a separate entry or use the notes field to clarify.

Prescription-only services (e.g. anti-wrinkle injections) are handled differently: they appear in the app as consultation-only, with no advertised price and no points, in line with advertising rules for therapeutic goods. Don't add prices to them.

Step 2: Set your membership tier or tiers and monthly price

Go to Memberships in the dashboard and create at least one tier. Give it a name your patients will recognise (e.g. "Gold Member" or "VIP"), set the monthly price and list the benefits included. If you are offering multiple tiers, set them all up before launch.

Step 3: Build your rewards library with at least 3 to 5 rewards

Go to App Builder → Loyalty & rewards and add the items patients can redeem points for. Aim for a minimum of three to five options so the tab feels worthwhile on day one. Good starting rewards include: a discount on a facial, a free add-on treatment, skincare samples or a retail product credit.

AHPRA compliance

Rewards must never include prescription injectables. Stick to eligible treatments, retail products and clinic services that do not require a prescription.

Step 4: Upload your logo and choose your brand colour

Go to App Builder and upload your logo (PNG with transparent background preferred) and enter your brand hex colour. See the Setting up your clinic's branding article for full specs.

Step 5: Your booking system

Connecting your booking system (Timely, Cliniko or WooCommerce) is not something you do yourself — there's no dashboard screen for it. The Clinic App team connects it for you as part of your build; just make sure we have your booking system details. See Connecting your booking system.

Payments and testing

Step 6: Connect your Stripe account

Go to Settings and connect your Stripe account. Stripe handles all membership billing. You need a Stripe account set up in your clinic's name before patients can subscribe. If you do not have a Stripe account yet, sign up at stripe.com/au. It takes around 10 minutes.

Step 7: Do a test sign-up

Before you invite any patients, join as a member yourself. Download the app using your own patient profile, sign up for a membership and go through the full patient experience. Check:

  • The branding looks correct
  • The treatment menu is complete
  • Booking links open the right page in your booking system
  • The rewards library shows the correct options
  • The Stripe payment processes correctly (use a real card; you can refund yourself)
  • The Wallet pass adds without errors

Fix anything that does not look right before moving on.

Your team and your patients

Step 8: Brief your reception staff on how to mention the app at checkout

Your reception team is the most effective launch channel you have. Equip them with a simple script they can use at checkout: something like "Have you downloaded our app yet? You earn points every visit and can redeem them for free treatments." Keep it short. A short, confident mention from reception converts far better than a long email.

Step 9: Share the download link with your existing patient list

Send an email or SMS to your existing patients with your app's download link. Your Clinic App team will provide the link during onboarding. A short, direct message works best: tell them what the app does, what they get for joining and how to download it.

Step 10: Book your launch call with the Clinic App team

Before you go public, schedule a 30-minute call with your Clinic App contact to walk through the setup together. We will check everything is configured correctly and answer any last questions. Message us in the WhatsApp group to book a time.
