Adding and editing your treatment menu

Your treatment menu is what patients browse in the app to understand what your clinic offers and what their points can be spent on. Keeping it accurate and up to date takes a few minutes in the dashboard and makes a real difference to how patients engage with their rewards.

Adding a new treatment

Go to the Content page. If your clinic has treatment groups, open the group first, then the treatment inside it. You will need:

  • Name: Keep it plain and descriptive. Patients read this in the app, so "LED Skin Rejuvenation" works better than an internal code.
  • Description: Two to four sentences on what the treatment is and who it suits. No clinical claims or before-and-after language.
  • Price: The standard retail price a non-member would pay. This is used to calculate points value.
  • Photo: A square or landscape image at least 800px wide. A clean treatment-room shot or a product photo works well. Avoid heavy filters. Accepted formats are JPG, PNG or WebP up to 4MB — HEIC (the default format on an iPhone) isn't accepted, so re-save or export as JPG first if your photo won't upload.
  • Concern tags: Free-text tags describing what the treatment addresses (for example "pigmentation", "acne scarring"). These help patients find the treatment in shop search — there's no fixed category list to pick from.

Hit Save and the treatment appears in the app immediately.

A quick reminder

Every time you save patient-facing text (a name, description, offer or reward), the dashboard shows a quick wording reminder before it publishes — a nudge you can dismiss, not a block. Your clinic stays responsible for compliant wording; see the compliance note below.

Editing an existing treatment

From Content, click any treatment (or open its group first) to edit it. You can update any field at any time. Changes go live in the app straight away. There is no draft or approval step.

If you change a price, the updated price applies to new redemptions only. Any points a patient has already spent on that treatment are not affected.

Hiding a treatment without deleting it

If a treatment is temporarily unavailable, such as while your laser device is being serviced, you can hide it rather than delete it. Open the treatment, toggle Visible in app to off, and save. It disappears from the patient-facing menu but stays in your dashboard so you can turn it back on later.

Deleting a treatment is permanent. Only delete it if you will never offer it again. If you are unsure, hide it first.

How prescription injectables are handled

Prescription cosmetic injectable services require a valid prescription and are regulated by AHPRA and the TGA. They cannot be advertised to the public with a price or as something a patient can purchase directly.

In the app, these services are listed as consultation-only. They appear in the treatment menu so patients can see they are available, but there is no price shown and no points value attached. Patients can not "purchase" or redeem points against them. The listing simply says "Book a consultation" and links to your booking system.

For a treatment flagged as prescription (S4) in our system, the name and price fields are locked and can't be edited — only the photo and description stay editable. Message us in the WhatsApp group if you are unsure how a service is categorised.

What happens to patients with existing bookings when you edit a treatment

Editing a treatment name, description, or photo does not affect any existing bookings. Those are managed in your booking system (Timely, Cliniko, or Fresha), not in the Clinic App dashboard directly.

If you change a price, it only affects points calculations for new redemptions going forward. Patients who have already used points against a treatment at the old price are not retrospectively adjusted.

If you hide a treatment, it simply disappears from the app's menu. Patients receive no notification. Worth keeping in mind for popular treatments you are only temporarily removing.

Compliance

Only non-prescription services can have a price and points value attached. Prescription injectables must be listed as consultation-only with no advertised price. See What you can and can't reward for the full list.
